  • As an Event Host, you should check the calendar on the Web site to be certain that there is no conflict with other programs already scheduled.

    Procedure for Scheduling a Zoom Only Meeting/Event with A/V
    1. Event Host fills out the Schedule a Zoom Only Event/Meeting Form on-line.
    2. When complete, Event Host clicks SUBMIT.
    3. Request Form is sent to the AV Scheduler, who checks for scheduling conflicts.
    a. If there is no conflict, AV Scheduler assigns a Zoom Host and sends the Request Form to the Zoom Host for scheduling.
    b. If there is a conflict, AV Scheduler will contact the Event Host to try and resolve conflict. Once there is resolution, AV Scheduler will proceed as in #3a above.
    4. Zoom Host will schedule your Event in the Zoom schedule based on information in the Request Form.
    5. Zoom Host will send a confirming email to the Event Host with copies to the AV Scheduler and to the Web Editors, TV9, and CRA Secretary, if the meeting is open to the community, so these groups will know an Event has been scheduled on Zoom. The email will include the Meeting ID and sign-in information.

    Additional Publicity
    It is the Event Host’s responsibility to provide any additional information/publicity on the meeting/event to the Web Committee, Channel 9, the Chronicle (if it is planned before the Chronicle deadline for the month) and post on the Bulletin Board.

    For Featured Events, Open to the community, the CRA will email all residents on the Crosslands Residents Directory, the meeting ID and password information.

    For Limited meetings, only open to a committee and programs that require a fee to participate, the Event Host is responsible for email or other communications to participants.
